ASC 2016: “Protecting Public Health Across Borders”

The Second Annual Scientific Conference of the Mediterranean Programme of Intervention Epidemiology Training’ (ASC MediPIET) will be held in Marrakesh, Morocco, from 6th to 8th December 2016. The theme of the 2016 ASC “Protecting Public Health Across Borders”, mainly focusing on infectious diseases across the Mediterranean, Balkans and Black Sea Regions in order to get evidence for diseases prevention and control and public health policy making for migrant movements.

We are constantly being reminded of the fact that infectious diseases do not respect borders and it is of crucial importance for countries to have a strong cadre of professionals in prevention and control of infectious diseases. The proximity of our regions, Mediterranean Balkans and Black Sea area, composes the imperative requirement for effective transnational networks.

This year, as a new feature, MediPIET will be having on 6th December a joint day conference with EMPHNET, Eastern Mediterranean Public Health Network, which is also celebrating their 5th Regional Conference in Marrakesh. This joint scientific activity shows the increasing interest in strengthening the bonds between MediPIET and other networks, in order to find synergies for building a harmonized response to global public health problems and threats and to establish a collaborative community of practice bringing together experts from all Public Health related disciplines, from all countries. We all pursue the same goal: to establish a regional epidemiology workforce which can speak the same language.

The ‘Annual Scientific Conference of the Mediterranean Programme of Intervention Epidemiology Training’ is a conference mainly focused on infectious diseases across the Mediterranean and Black Sea Regions and worldwide in regard of getting evidence for diseases prevention and control, and public health policy making.

As part of the training objectives of MediPIET Programme, the Annual Scientific Conference aims at providing the opportunity to fellows and other epidemiologists of the region to present the results of their field epidemiology activities (research projects, outbreak investigations, the evaluations of surveillance systems, International assignments) and allow the exchange between representatives of the Public Health Institutions and stakeholders involved in the Project.

MediPIET ASC contributes to the establishment of a collaborative community of practice bringing together junior and senior experts from all Public Health related disciplines.

European Centre for Prevention and Disease Control (ECDC) chairs the Scientific Committee of the MediPIET Annual Scientific Conference, which is composed by members of the Scientific Advisory Board of MediPIET, directors of the existing Field Epidemiology Training Programmes in the partner’s countries and others.

The format of the Conference includes back to back meeting and keynote speech.

Oral presentations no longer that 10 minutes followed by a 5 minutes slot for questions and answers.

Poster presentations are to be short 10 minute oral presentations of each poster to an audience gathered as a group.

Moderated panel discussion with invited speakers.

The conference is jointly organized by the MediPIET Consortium composed by FIIAPP and ISCIII and the Ministry of Health of Morocco.

Registration

Online registration is restricted to invited participants only. Speakers, presenters of oral or poster communications, as well as members of the MediPIET network (National Focal Points, fellows, supervisors and national authorities) will be invited to register online to the MediPIET ASC 2016. Invited participants will receive an email with instructions on how to register online.

Travel and accommodation costs will be covered by MediPIET for the fellows, National Focal Points and representatives of national institutions participating in the MediPIET Network as well as for independent attendees from whom an abstract has been accepted.

CALL FOR ABSTRACTS IS NOW CLOSED.

The call for abstracts for the MediPIET ASC 2016 opened the 15th of April 2016 and the deadline will be the 20th June 2016.

Abstract decisions will be communicated to authors the in September.

Abstracts submission process

Abstracts must be submitted online through Abstract Submission Platform:

After having submitted an abstract, a confirmation of reception will be sent to the sender e-mail address.

All the instructions in regard of structure and content as well as requirements are described in the abstract submission guideline.

 

Abstract review and selection process

All abstracts submitted for the MediPIET Annual Scientific Conference 2016 will be reviewed by two reviewers. Any errors in spelling, grammar or scientific fact in the abstract will have the opportunity to be corrected.

Abstracts will be considered as eligible for either oral or author-attended poster sessions. Once an abstract is accepted, the Scientific Committee will determine whether it is more suitable for oral or poster presentation (authors can also indicate their preference in their submission).

All accepted abstract presenters will be asked to register to attend the conference. Registration will come through a formal invitation sent to authors. Please, notify the conference organizers of any change – change of presenting author or withdrawal of abstract – in a timely manner.

This conference is addressed mainly to the fellows, national focal points and epidemiologists working in the public health institutions of the participating countries to the MediPIET programme.

Details regarding registration will come through a formal invitation sent to the MediPIET countries and other stakeholders.

Costs related to travel and accommodation will be covered by the MediPIET programme for the participants responding to the following criteria:

  • MediPIET fellows,
  • MediPIET national Focal Points
  • Author who had an abstract accepted as poster or oral presentation
  • Others: members of international organizations, public health and field epidemiology training related networks in the region, and other relevant stakeholders.

Certificates

A certificate:

  • Participation’s certificate for participants without presentation
  • Communication’s certificate for participants who have oral or poster presentation(s) will be delivered after the conference via email

Venue

The ASC 2016 will be held in Marrakesh, Morocco. Practical information will be send to all participants to their email.

We have arranged a shuttle service from the airport to the hotel and form the hotel back to the airport on your departure.

A driver with a MediPIET sign or your name will be waiting for you at the airport upon arrival to take you to the hotel.

a) Indications for oral presentations

  • All oral presentations are allocated 15 minutes (10 minutes for the talk and up to 5 minutes question time). It is of utmost importance that you do not exceed the 10 min you have to present your work. A moderator will be in charge of time-keeping.
  • It is mandatory to use the template provided by MediPIET. Please, download here the template for oral presentations.
  • Accepted presentations should be sent to conference2016@medipiet.eu no later than 27th November. No presentations will be accepted after this deadline. As a safeguard, presenters are welcome to bring their presentation in USB sticks.

Publication of presentations

  • In order to support dissemination and to ensure your work has maximum impact, it is our intention to publish all presentations on the MediPIET website after the conference.
  • Oral presentations will be recorded on video and published on the MediPIET website. Presenters will be asked to sign a consent form accepting to be recorded.
  • Please ensure that all presentation materials are authorised for publication (photos, cartoons, graphics, etc.: we advise you not to use copy-right protected materials for which you do not have explicit permissions).

Publication of notification of funding/potential conflicts of interest

In order to support dissemination, speakers should include a specific slide to indicate all sources of funding of their research and potential conflicts of interest for the work presented at MediPIET.

 

b) Indications for poster presentations

Poster session outline

  • Posters will be displayed since the beginning of the conference. Instructions in regard of the location will be provided upon arrival.
  • MediPIET ASC 2016 will NOT organise specific moderated poster sessions. Each poster presenter will stand close to his/her poster for presenting his/her work, and answer questions from people gathered around during the poster sessions.

Please, kindly note that MediPIET and EU logos (included in the template) are mandatory. You should also include the logo/s of your institution and/or funders of your research if any. You can download the template here.

Poster dimensions: DIN A0 (118,9 x 84,1 cm)

Printing

This year MediPIET Project will be in charge of the printing and carriage of the posters to the venue.  Therefore, we would like to kindly ask you to send the final version of the POSTER to the following email address conference2016@medipiet.eu no later than 13th November. No deadline extension is possible. For those that do not send their POSTER before the mentioned deadline, they will be responsible for the printing and carriage of their poster to the venue. Non reimbursement will be done.

Reimbursement

As MediPIET will be in charge of the printing process, NO REIMBURSEMENT is foreseen.

Poster display at the conference

  • Your paper poster will be displayed during the whole length of the conference. Poster authors should ensure that their posters are in place the day before the start of the conference and removed after the closure.
  • Each poster will have a specific spot. More information will be given to you on site at the registration desk.
  • Tape, pins and other provisions to set up posters will be available in the poster area.
  • After the conference, authors can take the posters with them. We recommend to foresee the way to transport it.
